Privacy Policy

Who we are

Khem Villas is a family-run retreat beside Ranthambhore National Park, operated by Ranthambhore Wildlife Alliance Pvt. Ltd. (“we”, “us”), VPO Sherpur Khilchipur, Sawai Madhopur, Rajasthan 322001, India. We decide how and why the personal data described here is used, which makes us its Data Fiduciary under India’s Digital Personal Data Protection Act, 2023.

 

This notice explains what personal data we collect when you use this website, enquire, book or stay with us; why we collect it; who we share it with; how long we keep it; and the rights you have.

What we collect and why

  • Enquiries. When you use the form on Plan Your Stay, we receive your name, email address, travel dates, number of guests and anything else you write. We use it to reply to you and to plan your stay.

  • WhatsApp, email and phone. If you message us on WhatsApp (+91 94140 30262), write to info@khemvillas.com or call us, we receive your name, number or email address and what you tell us. We use it to answer you and to look after your booking. WhatsApp is run by Meta under its own privacy policy.

  • Online bookings. Bookings made through Check availability are handled by Cloudbeds, our reservation provider. Cloudbeds collects your name, contact details, stay dates, number of guests, requests and payment details, and passes the booking to us. Card payments are processed through Cloudbeds’ payment system under its own privacy policy.

  • When you stay. Indian law requires hotels to register every guest at check-in. We record your name, address, nationality and a government-issued photo identity document. For guests who are not Indian citizens we also record passport and visa details and report the stay to the immigration authorities (Form C). We may also note dietary needs, any health information you choose to share for your safety (for example an allergy, or before a spa treatment) and your preferences, so that we can look after you.

  • This website. The site is hosted by Wix, which uses cookies and similar technology needed to run the site securely and records basic technical data such as your IP address, browser and the pages you visit. We do not use advertising cookies. If we add visitor analytics, we will update this page first.

 

We do not sell your personal data, and we do not make decisions about you by automated means alone.

Who we share it with

We share personal data only with people and services that need it to look after you, and only as much as they need:

 

  • Our service providers: Cloudbeds (reservations and payments), Wix (website hosting and the enquiry form), our email provider, and Meta (WhatsApp, if you message us).

  • Safari operators or drivers, only if you ask us to pass on your details, and only the details they need.

  • Government authorities when the law requires it, such as guest registration and Form C reporting, tax authorities, or a lawful request from the police or a court.

 

Some of these providers store data outside India. Where they do, we rely on their contractual and security commitments, and transfers follow any restrictions set by the Government of India.

 

How long we keep it

 

  • Enquiries and correspondence that do not lead to a booking: up to three years, so that we can help if you plan a later visit, unless you ask us to delete them sooner.

  • Booking, billing and guest-registration records: for as long as Indian tax, accounting and hotel-registration laws require.

  • Website records: for the period the law requires.

 

When we no longer need personal data, we delete it or make it anonymous.

 

How we protect it

 

Access to guest information is limited to the team members who need it. Our website and booking providers encrypt data in transit. If a breach affects your personal data, we will tell you, and the Data Protection Board of India, as the law requires.

 

Your rights

 

You can ask us to:

 

  • tell you what personal data we hold about you, how we use it and who we have shared it with;

  • correct, complete or update it;

  • delete it, unless the law requires us to keep it;

  • stop using it where you gave consent. You can withdraw consent at any time, as easily as you gave it. This does not affect what we did before, and we may then be unable to keep a booking that depends on it;

  • let someone you nominate exercise these rights for you if you die or become unable to do so.

 

To use any of these rights, write to info@khemvillas.com or send a WhatsApp message to +91 94140 30262. We may ask you to confirm your identity. We will reply as soon as we can, and in any case within 30 days.

 

Children

 

Children are welcome at Khem Villas, but this website is not meant for anyone under 18 to use on their own. We collect a child’s details only from a parent or guardian, for registration and care during the stay, and with that adult’s consent.

If you are not satisfied with our answer, you can complain to the Data Protection Board of India.

 

Changes to this notice

 

We will update this page when our practices or the law change, and show the new date at the top.
